ADMINISTRATIVE ASSISTANT-PEOPLE TEAM

We are seeking a proactive, customer service driven People Team Administrative Assistant for our Chesterfield corporate office to support our People VP and department. The ideal candidate will have a professional and polished demeanor, be a strong communicator, and demonstrate exceptional organizational skills. This role demands a creative, self-starting individual who excels in a collaborative environment and has high energy and adaptability. Expectations include maintaining a high-level of confidentiality, discretion, and judgement when presented with sensitive employee data, legal matters, and proprietary business information.

Responsibilities

  • Manage and maintain the VP’s calendar, department calendar, reports, projects, and activities as assigned.
  • Schedule and coordination of various recurrent meetings, events, speaking engagements.
  • Responsible for meeting setup, including coordination of materials, room organization, technology, drinks, and food arrangements.
  • Provide support and collaborate as needed with communication, presentations, reporting analysis, and other visual aids, including formatting, packaging, prepping, meeting assistance, by utilizing PowerPoint and other design tools.
  • Maintains presence in office to effectively communicate necessary information, and completes office errands, which may require driving.
  • Coordinate planning for employee events and activities with regional offices.
  • Prepare and distribute correspondence.
  • Collaborate and assist with People team on various projects and initiatives.
  • Manage travel for department, including booking travel arrangements, managing loyalty program memberships, managing travel schedules, and supporting any changes or travel/reservation-related questions.
  • Responsible for filing expense reports, including the gathering of receipts and information needed. Experience working in Concur is preferred but not needed.
  • May assist in records management, document control, conducting research, interpreting data, and proofing documents to ensure system integrity.
  • Manage and order office supplies.
  • Assist and work with applicable departments in coordinating outreach activities.
  • Perform other support functions including management of special projects, social media accounts, audits, and other duties as assigned.

Qualifications

  • Bachelor’s in Business Administration, Human Resources, or related fields preferred.
  • 5+ years proven experience providing executive support in administration role, preferably in HR or related field.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel, and PowerPoint.
  • Desired – knowledge in variety of software applications and/or strong ability to master, including UKG, iCIMs, Adobe Creative Suite, Canva, and Business Intelligence tools (Power BI).
  • Exceptional organizational skills to prioritize work assignments to meet deadlines, with acute attention to detail and excellent problem-solving skills.
  • Highly motivated self-starter who takes initiative with minimal supervision with the ability to collaborate and work as part of a team.
  • Must provide discretion and integrity when handling confidential information.  
  • Exceptional verbal, written, and interpersonal communication skills with a commitment to customer service.
  • Experience with data measuring, analytics, and reporting.
