Overview

This position will be responsible for the overall processing of compliance for subcontractors/vendors. In addition to requesting and tracking these items, setting up new vendors and assisting where applicable the accounts payable process is desired. 

The Compliance Specialist reports to the Accounts Payable/Compliance Manager. This is a full-time, non-exempt position.

Responsibilities

  • Facilitates payment of vendors, which may include verification of federal ID numbers and collection of W9 documentation for vendor setup
  • Participate in departmental policy, along with observing internal controls for the ability of maintaining accurate records
  • Coordinate and review all contracts and insurance requirements; follow-up to ensure prompt subcontractor replies and submissions
  • Assist in the collection and submission of documents for payment issuance approval (such as (but not limited to) unconditional 1st and 2nd tier lien waivers, operations items, signed subcontracts and change orders, permits, sales/use tax items, prequalification)
  • Partner with the legal team to ensure all terms and conditions are aligned with project and compliance requirements
  • Track and follow up with subcontractors’ contracts and provide updates and status on missing compliance items
  • Manage and centralize insurance project requirements (Owner and Subcontractors)
  • Ensure Subcontractor coverages meets project insurance requirements for type of coverage, limits and entities listed as additional insured
  • Manage the collection and package submittal of unconditional lien waivers for all subcontractors and their tiers
  • Other duties as required 

Qualifications

  • Excellent verbal and non-verbal communication skills
  • Proven ability to meet deadlines
  • Intermediate to advanced skills in Excel, Word and other Office applications
  • Strong attention to detail and ability to multi-task
  • Vista Viewpoint or similar construction software preferred
  • Experience with Concur or similar AP automation software preferred
  • Accounts Payable and/or Compliance experience is desired
  • Tertiary education is preferred
  • Minimum of 2-year recent experience in accounting or a similar role within the construction industry

 

Working Conditions:

  • The Complaince Specialist’s work is primarily performed indoors at Brinkmann’s corporate
    office
  • This role requires regular office hours, with potential for extended hours during reporting cycles
  • Light physical effort is required, including the handling of objects up to 10 pounds and some standing,
    walking, sitting, talking and/or hearing
