The Project Assistant provides crucial support to ensure the successful execution of construction projects from inception to completion. The Project Assistant uses strong organizational skills and the ability to multitask in coordinating project activities, maintaining documentation, and facilitating seamless communication between various stakeholders. The Project Assistant collaborates closely with project managers, engineers, contractors, and clients to facilitate the smooth flow of project operations.
• Providing administrative support for electronic project files
• Assisting with planning projects and department meetings and taking detailed minutes
• Writing and distributing email, correspondence memos, letters, and forms
• Coordinating project specific orientation and transitions for project staff
• Creating job books for the project team, if requested
• Requesting a new vendor set up; communicating the need for a Form W-9 to vendor and following up on request
• Creating/preparing meeting minutes, project correspondence utilizing appropriate software
• Preparing and issuing subcontracts, purchase orders and change orders
• Ordering prints, construction plans and drawings
• Notarizing project documents
• Creating, implementing and maintaining Project Assistant standard operating procedures with examples and tutorials
• Ensuring job files are accurate and contain all required and pre-existing documentation
• Coordinating job related details with subcontractors as needed
• Serving as backup for Receptionist, as needed
• Other duties as assigned
• High school diploma or equivalent; additional education or certifications in construction management or a related field are a plus
• Proven experience in a similar role or the construction industry is preferred
• Excellent communication and interpersonal skills, with a friendly and approachable demeanor
• Proficiency with computer applications including Microsoft Office suite and SharePoint
• Strong organizational abilities and the capacity to handle multiple tasks simultaneously
Working Conditions
• Work is typically performed indoors out of a main office or field office at the construction site; may
require prolonged periods of sitting at a desk and working on a computer
• Light physical effort is required, including the handling of objects up to 20 pounds
• Position may require travel
• Position requires frequent, high-level of autonomy as it relates to decision-making that impacts
company results
